Reducing Documentation Burden and Strengthening Workforce Sustainability Through Ambient Voice Technology: A Practical Framework for Global Primary Care
Tom RATCLIFFE, Vincent SAI, Hannah ALLEN, Mina GUPTA and Nina JHITA
Across the world, primary care clinicians face overwhelming documentation requirements. In many systems, clinicians spend as much time—or more—writing notes as they do in direct patient care. This administrative load contributes to burnout, reduces patient-facing time, undermines continuity and threatens workforce retention. Ambient Voice Technology (AVT) offers a transformative opportunity: accurate, real-time consultation notes produced unobtrusively during the patient encounter. When implemented safely, AVT can restore clinician capacity, improve documentation quality and strengthen the sustainability of primary care systems. Documentation burden is a universal challenge, affecting high-, middle-, and low-income settings. For some clinicians, delayed or incomplete notes affect clinical quality and introduce medico-legal risks. For others, the cumulative burden creates chronic fatigue and diminished job satisfaction. AVT provides an emerging solution by capturing the consultation narrative and generating structured notes that clinicians verify. The workshop focuses on universally transferable principles: evaluating readiness, adapting workflows, safeguarding data and achieving cultural adoption—regardless of local infrastructure or digital maturity.Participants will be able to: 1. Understand how AVT works and its potential to reduce burden and improve safety. 2. Apply governance, workflow and risk-mitigation principles for safe deployment. 3. Support clinician adoption using behavioural and organisational change strategies. 4. Evaluate infrastructure and inclusion requirements in varied resource settings. 5. Adapt phased implementation models to their own health system.Short presentations on documentation burden, AVT principles and implementation models. Mentimeter activity: participants vote on their biggest documentation challenges. Small-group reflection on local feasibility and potential adaptations. Facilitator-led examples of phased rollout, cultural adoption and safety oversight. Workshop schedule 0–10 min: Global documentation pressures and workforce sustainability 10–20 min: AVT principles, benefits and limitations 20–35 min: Mentimeter + discussion 35–50 min: Adoption strategies, governance and phased rollout 50–60 min: Key takeaways & Q&AParticipants gain an actionable framework to evaluate and introduce ambient documentation safely; strategies to strengthen workforce morale and wellbeing; and adaptable models suited to diverse healthcare systems. This workshop reframes ambient transcription as a structural workforce solution, offering practical, transferable insights that enable delegates to reduce burden, enhance documentation quality and build more sustainable primary care services.
