General Terms and Conditions of Sale

  1. Purpose and Scope

These General Terms and Conditions of Sale (hereinafter the “GTC”) govern all registrations, accommodation bookings, transport arrangements, and ancillary services (collectively, the “Services”) offered and sold via the website woncaeurope2026.org in connection with the WONCA Europe 2026 Congress (hereinafter the “Event”).

They constitute a legally binding agreement between Overcome, acting as the event organizer (hereinafter the “Organizer”), and any individual or legal entity purchasing one or more Services (hereinafter the “Participant” or “Client”).

By confirming a booking or registration, the Participant acknowledges having read, understood, and accepted these GTC in full, without reservation.

      Any natural or legal person who registers for or purchases any Service offered on the aforementioned website, whether acting as a professional or a consumer.
  1. Acceptance and Enforceability

These GTC are enforceable as soon as the Participant has validated the registration or booking process and proceeded with payment.
No special condition, nor any general purchasing term issued by the Participant, shall prevail over these GTC unless expressly accepted in writing by the Organizer.

  1. Description of Services

The Services covered by these GTC include, but are not limited to:

    • Registration to the Event (full access, one-day, or half-day passes, social sessions, etc.);
    • Accommodation bookings (partner hotels, overnight stays, packages, etc.);
    • Transport arrangements (transfers, shuttles, etc.), where applicable;
    • Ancillary services (meals, excursions, cultural visits, social events, etc.).

All descriptions, schedules, and illustrations on the website are provided for indicative purposes only and are not contractually binding on the Organizer.

  1. Prices and Payment Terms

5.1 Prices

All prices are expressed in euros (€), inclusive of all applicable taxes, unless otherwise indicated.
Prices may vary depending on the Participant’s category (member, non-member, student, early-bird registration, etc.).
The Organizer reserves the right to modify prices at any time prior to registration; however, the applicable price shall be the one displayed at the time of the Participant’s confirmation of purchase.

5.2 Payment Terms

Payment may be made by any of the methods offered on the website (credit/debit card, bank transfer, or other secure means).
Registration or booking will only be considered valid upon receipt of full payment or, where applicable, the deposit required.

For bank transfers, Participants must provide documentary proof of payment within the specified period; failure to do so may result in automatic cancellation of the booking.

  1. Confirmation and Contract Formation

The contractual relationship between the Organizer and the Participant is deemed concluded once the Organizer issues written confirmation of registration or booking, sent by email, together with an invoice or receipt.
For accommodation or transport services, specific logistical information (addresses, schedules, etc.) shall be provided in due course.

  1. Cancellations and Amendments by the Participant

7.1 Withdrawal Right

Pursuant to Article L.221-28 of the French Consumer Code and corresponding EU regulations, the statutory right of withdrawal does not apply to the provision of accommodation, transport, or leisure services to be supplied on a specific date or within a specific period, nor to services whose execution begins before the end of the legal withdrawal period.

7.2 Cancellation and Refund Policy

All cancellation requests must be submitted in writing (by email) to the Organizer, clearly indicating the Participant’s name, registration number, and reason for cancellation.
The Organizer shall acknowledge receipt in writing.
Refunds, where applicable, shall be made using the original payment method within a reasonable period (not exceeding thirty [30] days) after approval.

  1. Modification or Cancellation by the Organizer

8.1 Modification

The Organizer reserves the right to alter certain elements of the Event (programme, speakers, timetable, venue) for organizational or technical reasons.
Such modifications shall not give rise to any right to compensation or cancellation unless they fundamentally alter the nature of the Event.

8.2 Cancellation

Should the Event be cancelled due to circumstances beyond the Organizer’s control, including but not limited to force majeure, administrative decisions, or security reasons, the Organizer will offer Participants either:

    • a transfer of registration to a rescheduled edition; or
    • a full or partial refund of the registration fee (the scope and amount to be determined).

The Organizer shall not, under any circumstances, be liable for any indirect losses or ancillary expenses (including transport, accommodation booked independently, or visa costs).

  1. Liability and Insurance

Participation in the Event is undertaken entirely at the Participant’s own risk.
The Organizer shall not be held liable for any damage, loss, theft, accident, or injury occurring during the Event, except in cases of gross negligence or willful misconduct.
Participants are strongly encouraged to obtain appropriate personal insurance coverage, including travel, health, and cancellation insurance.

  1. Obligations of the Participant

Participants agree to:

    • Provide truthful, complete, and up-to-date information during registration;
    • Comply with all Event rules, schedules, and safety instructions (including health and sanitary measures, if any);
    • Refrain from transferring or reselling their registration without the Organizer’s written consent;
    • Acknowledge that non-attendance shall be deemed a no-show and shall not entitle them to any refund.
  1. Intellectual Property Rights

All materials, presentations, content, logos, trademarks, or images made available during the Event are and shall remain the exclusive property of their respective authors and/or the Organizer.
No reproduction, dissemination, modification, or commercial exploitation of such materials is permitted without the prior written authorization of the rights holder.

  1. Personal Data Protection

The Organizer processes personal data in strict compliance with the General Data Protection Regulation (EU) 2016/679 (GDPR) and applicable French legislation.
Data are collected solely for the purposes of managing registrations, invoicing, communication, and logistical organization of the Event.

Participants may exercise their rights of access, rectification, erasure, restriction, objection, or data portability by writing to the Organizer at the postal address or email indicated above.
Personal data shall be retained only for the period strictly necessary to fulfil these purposes.

  1. Force Majeure

Neither party shall be held liable for failure or delay in the performance of its obligations where such failure or delay results from a force majeure event as defined by Article 1218 of the French Civil Code and relevant case law, including but not limited to: natural disasters, fires, floods, pandemics, wars, terrorism, strikes, or governmental restrictions.
The performance of obligations shall be suspended for the duration of the force majeure event.

  1. Governing Law and Jurisdiction

These GTC and any contract arising therefrom shall be governed by and construed in accordance with French law.
Any dispute relating to their interpretation, performance, or validity shall fall within the exclusive jurisdiction of the courts of Paris, France, unless otherwise provided by mandatory legal provisions protecting consumers.

  1. Severability and Amendments

If any provision of these GTC is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
The Organizer reserves the right to amend these GTC at any time. Any new version shall take effect upon publication on the Event website and shall apply to all subsequent registrations.

Participants are invited to consult the most recent version available online prior to confirming their registration.
